This policy explains what we do with your personal information when you contact us, ask us for a quote, or use this website. We have written it in plain English rather than legal language.

This website belongs to RM Renewable Energy Solutions Ltd, trading as RM Solution. We install, service and repair air conditioning, heat pumps and gas heating for homes and businesses in Hatfield and across Hertfordshire.

We are the data controller for the information described in this policy, which means we are responsible for looking after it.
What we collect
We only ask for what we need in order to help you. Depending on how you get in touch, that may include:
- your name
- your email address and phone number
- your address or postcode, so we know where the work would be
- details about your property and what you need, such as the number of rooms or the age of your boiler
- anything else you choose to tell us in a message
We do not ask for payment card details through this website, and we do not collect any special category information such as health data.
How we collect it
Through the enquiry form on our Contact page, through our online quote tool, and when you call or email us directly.
Messages sent through a form on this website are emailed to us and are also stored in the website’s own admin area so that we do not lose track of an enquiry.
Why we use it, and our legal basis
- To answer your enquiry and give you a quote. We do this because you have asked us to, and because we have a legitimate interest in responding to people who contact us.
- To carry out work you have booked and to arrange access, parts and appointments. This is necessary to perform our contract with you.
- To meet our legal and safety obligations, including the records we are required to keep as a Gas Safe registered business and under F-Gas regulations.
- To handle warranties, guarantees and any aftercare on work we have completed.
We do not use your information for marketing unless you have asked us to, and we never sell it to anyone.
Who we share it with
We keep your information within our own team wherever we can. We share it only where it is necessary:
- our engineers and office staff, so they can do the work
- the company that hosts this website, which stores the site and its data on our behalf
- Quotestack, which provides the online quote tool used on our quote page, if you use it
- manufacturers, where a product warranty has to be registered in your name
- our accountants, insurers or professional advisers where they need it, and any authority we are legally required to give information to
If you choose to look at finance, you are taken to Phoenix Finance’s own website, and any information you enter there is handled by Phoenix Finance under their privacy policy, not ours.
Cookies and other websites
This website uses a small number of essential cookies that are needed for pages and forms to work properly. We do not use advertising cookies, and we do not run analytics or tracking software that follows you around the internet.
Two pages include content from other companies: our Contact page shows a Google map, and our quote page includes the Quotestack quote tool. These companies may set their own cookies and can see that you visited that page. Their own privacy policies apply to anything they collect.
How long we keep it
If you enquire but we never carry out work for you, we keep your enquiry only as long as we reasonably need it, and then delete it. If we do carry out work, we keep the records for as long as we are required to for safety, warranty, insurance and tax purposes.
Keeping it safe
This website runs over a secure encrypted connection, and access to our systems is limited to the people who need it. No system is perfect, but we take reasonable steps to protect your information against loss or misuse.
Your rights
Under UK data protection law you have the right to:
- ask us for a copy of the information we hold about you
- ask us to correct anything that is wrong
- ask us to delete it, where we are not required to keep it
- ask us to limit how we use it, or object to us using it
- ask us to transfer it to someone else
- withdraw your consent at any time, where we relied on your consent

Complaints
If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
If we change how we handle your information we will update this page and change the date at the top.
